Customize your view of Incidents (OR ANY Table in Alloy) - for IT Technicians

OVERVIEW

Make Alloy show you what you would like to see, what is most useful to YOU as a technician relying on the information coming in from a ticket to guide your support and response.

The tables that are shown when you look at the list of Incidents, Persons, Computers, Work Orders can be amended in your account to show you more than the default option does.

Maybe you want have every ticket that comes in from a requester located at Bates show the row with a green background; maybe you want to show every ticket requested by the police department with the requester name in an italicized blue font.

On any ticket there are a lot of fields that are not shown by default, you can have more fields, or remove ones you do not want, shown in that table. You can also easily reorder the columns so that relevant ones are next to others. You can also do advanced filtering of records in this same place as appropriate (I use that for a view of all computers with ArcGIS on them).

This is all available online and in the desktop application, and if you save your new view (make sure you do!) you can always choose that one from either way you access Alloy.

Anything that you create will be private to you, and only you. If you create something that you think others might benefit from please discuss it with Bobbi, Judy or Olle (which ever one you report to) and then we can see about making a new view that will be made available to all of us.

PROCEDURE

All of the below directions are the same if you are in the web tech portal or on a desktop client. All of the actions are the same, the options are the same, the look might be slightly different, but it is the same across the board.

The same directions also apply to any, ANY, of the table views that you can choose in Alloy. The data elements might be different, but the process will be exactly the same across Persons, Incidents, Computers, and so on.

Choose the target section of Alloy you would like to see. For this walk through the view Incidents | Open will be the example, this is a default view that shows all of the incidents in the system with a filter on it culling out any incident that has the status of "Closed" on it.

The default columns are: Ticket, Submit Date, Requester, Summary, Status, Assignee,Assignee Group, Priority, Due Date

At this time the user decides that they want to:

See only Incident(s) from the Applications Group
Highlight the tickets created in the last day
Add in 2 columns that shows the Requester Location and Medium
Remove the Due Date column

These 4 changes to this view will allow the user to focus on Applications tickets, visually show the recent submitted ones, allow the user to easily see what location the ticket came in from as well as the Medium the ticket was submitted as this can indicate the ticket might be incorrectly categorized if it cam via email, last the Due Date column will be removed as it is not necessary for this user and the two new columns will take up space on the table.

On the table locate the mouse cursor over the table headers and right click the button, in the window that pops up Customize View will be available. This is where all of the above changes can be done.

This 'Customize View' action is available on any of the tables, the data attributes can easily be changed as needs change.

Following the example above, the Requester Location and Medium can be added at the first window that shows after invoking 'Customize View' and "Due Date' can be removed.

In the left column, highlight the new columns that you want to see in the table, you can choose one at a time, or multiple. Then hit the 'Add ->' button to move them to the right column, and have them show in the table view. When they are first added to the right side they will be added where ever the mouse cursor was; by using the 'Move Up' & 'Move Down' buttons at the bottom the new column can be placed where ever chosen.

Here Medium was put into the place of the first column and Requester Location was moved down to below (will show to the right of) Organization.

Hit the 'Apply' button to have these new columns added at this time, but still stay in the 'Customize View' module.

Now to custom color the Tickets that were submitted yesterday:

Navigate to the "Conditional Formatting" tab:

You can have as many custom format rules as you wish applicable; they are able to be used in both the web client and desktop client.

Choose "Add" to create the new one, and a window will pop up.

Give your formatting rule a good descriptive name and you can choose to have the formatting apply to the entire row, certain columns in a row, or just the first column. Whatever works for you!

Next you add your Conditions that the rule will work on, click the "+" button on the bar in the box, and you get a line of options.

The first box in the bar is the field you want to use as a trigger, in this instance use 'Created Date'

The next box in the bar is the matching rule (or nonmatching, or excluding, or including....etc.. there are lots of conditional phrases in there) and because we chose a data field very specific date conditional phrases are listed. In this example choose "Is Yesterday".

Those two entries fulfill the conditional statement requirement.

The window will then show you the statement, you can add nested statements if you wanted to ( as in "Created" "Is Yesterday" and then add a second one by hitting the + button and identifying "Requester" "equals" "Amanda Chiancola". This creates more distinct conditional statements).

Hit Okay and you will be brought back to the Customize window and you can then choose what formatting to apply on this statement.

In the "Apply Section choose the options you want.

When you are done choosing your custom formatting the system will show you an example at the bottom of the window.

Hit the "OK" button to see your custom formatting applied to the list of custom formatting.

If you have more than one customized format rule you can reorder them, enable/disable as need be.

Choose the "Ok" button to close the window and apply the custom formatting to the Alloy List. Seen below are rows of tickets that were created on March 30th, 2022 (Today is the 31st) and they are formatted as chosen.

**VERY IMPORTANT! After the custom formatting has been applied the list needs to be saved for use later.

Right click on any column header again and choose "View" then "Save View As" in the menu that pops up.

Give it a good memorable descriptive name, as this customized list can be used at any time.

Once the view is saved it is able to be retrieved with the customized formatting by going into the List menu, the new descriptive named view is in the list and able to be opened.

The ability to customize the list view is available for Incidents, Service Requests, Work Orders, Problems, Projects, Computers, Hardware, Discovered Installations, etc...anything that is shown in the List view can be customized.
